1. DEFINITIONS

The following terms are used in this SIA “Helmand Baltics” Privacy and Cookie Notice:

• Interaction: use of online store functions such as the wish list, checkout, newsletter subscription, My Account and chat.

3.2.2 ORDERS

3.2.2.1 CHECKOUT – DELIVERY ADDRESS

You can purchase products from the online store using your account. When placing an order, you will be required to provide additional information relating to the delivery address:

• name;
• email address;
• delivery address;
• telephone number;
• company name (if applicable);
• VAT number (if applicable);
• CoC (Chamber of Commerce) number (if applicable).

The data listed above is used:

• to inform you about the status of your order;
• to fulfil obligations relating to the order, delivery and after-sales service;
• to prepare an invoice;
• to improve our service;
• to resolve questions and complaints;
• to personalise marketing activities;
• to place orders on behalf of our company.

3.2.2.2 CHECKOUT – BILLING ADDRESS

After you have entered the information relating to the delivery address, we will ask you to provide information about the billing address:

• payment method.

In order for SIA “Helmand Baltics” to prepare a prepayment invoice, the following information is collected:

• company name (if applicable);

• billing address;
• delivery address;
• telephone number;
• order value;
• IP address;
• order number;
• device;
• payment method.

This information is used to:

• send payment notifications by email;
• assess the risk of fraud;
• send the order number by email in the event of payment or order cancellation;
• send the order number and payment method by email so that the payment can be confirmed once the relevant type of payment has been received.

This allows us to provide better service if questions arise regarding payment, cancellation or refunds. It also helps reduce payment errors and provides a better shopping experience.

3.2.2.4 CHECKOUT – INSTALMENT PAYMENTS (Citadele and Inbank)

By selecting an instalment payment method, you agree that we may collect the following personal data, which is transferred to the respective service provider for creditworthiness assessment and preparation of the credit agreement:

• personal identification number;
• employer name and period of employment;
• salary amount;
• email address;
• IP address;
• telephone number;
• order-related information (delivery information, billing address, number of products, product number, customer group, payment method, invoice amount and VAT %).

3.2.3 WISH LIST

You can create a wish list in our online store. When products are added to the wish list, they will be stored for 30 days after checkout. Regardless of whether you are registered or not, we collect:

• IP address;
• browsing behaviour.

If you add products to your wish list while logged in, you will always be able to find them in the wish list section of your account.

This information is collected for marketing purposes so that SIA “Helmand Baltics” can remember your wish list when you return to helmand.lv.

3.2.4.1 PRODUCT REVIEWS

Using your account, you can leave reviews in the online store for products you have purchased. When submitting a review, you will be required to provide:

• product;
• order number.

3.2.4.2 REVIEWS THROUGH OTHER CHANNELS

You may leave reviews about our website www.helmand.lv through price comparison websites where SIA “Helmand Baltics” products and prices are displayed. To write a review, you will be asked to provide:

• name.

This information is collected so that we can contact the buyer and resolve any potential issues.

3.2.5 CUSTOMER SERVICE

If you have questions or complaints about a product purchased from the online store or a service provided by SIA “Helmand Baltics”, you can call us, send us an email or contact us via chat. When using the online complaint form, we will request:

• first name and surname;
• email address;
• telephone number;
• order number (optional / if applicable);
• description of the complaint.

When using the chat, only your first name, surname, email address and the subject of the conversation will be requested. The information listed above will be used to process your complaint.

3.3 PROCESSING OF PERSONAL DATA

3.3.1 PROCESSING OF PERSONAL DATA OUTSIDE THE EU

We cooperate with third parties such as Google and Facebook. This means that data may be stored on servers located outside Europe, where different legislation regarding the processing of personal data may apply. These third parties comply with the Privacy Shield principles established under the U.S. Department of Commerce Privacy Shield programme. Companies that comply with these principles are considered to meet European personal data requirements.

3.3.2 DISCLOSURE OF INFORMATION TO THIRD PARTIES

SIA “Helmand Baltics” may disclose your personal data to third parties for the following purposes:

• if you have consented to such disclosure;
• to fulfil a contract concluded with you;
• to deliver products purchased from another seller or sellers;
• to enable SIA “Helmand Baltics” and its cooperation partners to improve the products and services they provide;
• where required by law;
• to prevent or combat fraud.

3.3.3 RETENTION PERIOD

SIA “Helmand Baltics” will not retain your data for longer than necessary to achieve the specified purposes. 3.3.6 RIGHT TO OBJECT

You may object to the use of your personal data free of charge. Objections regarding the use of your data may be submitted to our customer service centre by email or post. You will receive a response from SIA “Helmand Baltics” within four weeks.

If you do not permit your data to be used for direct marketing activities, SIA “Helmand Baltics” will stop using your data for these purposes. You will no longer receive commercial emails from SIA “Helmand Baltics”, such as newsletters.

4. USE OF COOKIES

4.1 WHAT ARE COOKIES?

Like many other online stores, the helmand.lv online store uses cookies and other similar files and technologies, such as “web beacons” (hereinafter – cookies).
